Flex90 Regulations and Deadlines

For all athletes who have registered within the first 90 days of the initial race opening (CET) or for a limited Flex option offer, the following Rules and Deadlines apply:

Questions and Answers

Q: Can I get a full refund if I provide a medical certificate?    
A: No. We cannot make any exceptions for athletes that can provide a medical certificate.   We are happy to provide you with any payment documents if needed.

Q: Can I transfer my slot to another athlete?
A
: No, A transfer to another athlete is not an option.  

Q: I am trying to transfer to another race but the race is not listed, what can I do?  
A
: Please note that a race needs to be open for 10 days before it will be added to the transfer TO selection.

Q: What if I have transferred to another race and cannot take part any longer?  
A
: Once you have completed the transfer, you are no longer eligible for any further options if you cannot take part in the race.   

Q:  I have deferred from last year  and cannot take part any longer, can I transfer/defer or receive a refund?  
A
: Once you have already deferred from last year, you are no longer eligible for any further options if you cannot take part in the race.   

Q: I cannot take part in the race and wish to defer my 70.3 registration to next year, can I ? 
A: The Deferral Option is only available for our full distance races and ONLY for athletes who have registered within the first 90 days of general registration opening. A 70.3 or 5150 race cannot be deferred to the following year

Q: I have  registered with the Payment option Plan but cannot race any longer, what are my options?  
A: If you have registered with the payment option plan but wish to withdraw from the race, you are only eligible for the normal partial refund after you have completed all three installments. If you request a withdraw after the first or second payment, you are not eligible to receive any partial refund of your already paid registration fee.

Q: I have  chosen the Payment Option Plan, can I transfer before I have completed all payments?  
A: All three payments have to be completed before a transfer to another race can be requested.

Transfer Program

Transfers - Rules and Regulations

  1. The transfer option is available for IRONMAN and IRONMAN 70.3 events in Europe, Middle East and Africa (EMEA) only.  

  1. Upon transferring, athletes who have registered for a 2024 race within the first 90 days of initial registration opening or for a limited Flex option offerwill not be charged a transfer fee.  there might be an upgrade fee if the race the athlete is transferring into is higher in price than what the athlete had originally paid. 

  1. The event transferred to must be in the same calendar year as the original event.  A transfer to a race in the next year is not an option.

  1. A transfer is excluded for athletes who paid the entry fee (full or part) with a 2020 voucher . 

  1. A transfer to another person is not an option.  

  1. If an athlete is transferring from a higher priced race to a lower priced race, the athlete will not be refunded the difference.  

  1. If an athlete is transferring from a lower priced race to a higher priced race, the athlete will be required to pay the difference and applicable processing fee (ACTIVE Fee).  

  1.  The request must be made 45 days prior to the race day. 

  2. A transfer into sold out events or events that had reached capacity and re-opened, is not an option. Nor a Transfer into events that have foundation entries, charity or travel entries can be offered.  

  3. Athletes may transfer into eligible races as long as registration is open.  

  1. If additional purchases (e.g medal engraving or day license) have been purchased along with the original race entry, it cannot be transferred to the new race. Additional purchases will be refunded until the request deadline mentioned above. 

  1. Transfers are applicable to individual race entries only – entries purchased or provided through sponsors, charities and free entries cannot be transferred. A transfer of a race entry purchased with Nirvana Europe to a regular race entry of an open race is possible.  

  1. Races to be transferred into must have been open to the general public for at least 10 days.  

  1. Once a transfer or refund has been redeemed, the option to transfer again or defer your race entry is not available. You may only transfer once.  

  1. If an athlete chooses to transfer, they forfeit their eligibility for a refund to the event they originally entered. Athletes will also not be eligible for a partial refund for the race they have transferred into. 

  1. If an athlete qualifies for the IRONMAN World Championship or the IRONMAN 70.3 World Championship, an existing IRONMAN or IRONMAN 70.3 entry will not transfer from or to either of these events.  

  1. The transferring athlete may attempt to establish that the damage sustained by the organizer from his/her transfer is lower than the agreed upon amount withheld by the organizer pursuant to these regulations.  

  1. Payment Option Plan  
  1. A transfer is only possible after the third and final payment is done.  
  1. A race entry can only be transferred to a relay entry after the third payment is done.  
  1. Relay Team Transfer & Changes  

  1. Relay entries are not eligible to transfer to another event.  

  2. A transfer from a Relay Entry to an Individual Entry within the same race is possible until ten days prior race day unless the Individual Entries are sold out (ATTENTION: only one Relay member may transfer). The price difference between the entries will not be refunded.  

  3. A transfer from an Individual Entry to a Relay entry within the same race is possible until ten days prior race day unless the Relay entries are sold out. The upgrade for the Relay Entry price + Active fee (Processing fee) will be charged during the transfer.  

  4. Up to two team members can be changed until ten days prior race day.

Transfer Process

To complete a transfer to another race, please use the following steps:  

  • Step 1: Fill out the transfer form.  

  • Step 2: After filling out the transfer form you will receive a confirmation email from active.com confirming that we have received your request. In case you have not received this email, please check your spam folder or fill out the form again. 

  • Step 3: Once our team has processed the request, you will receive a personal registration link with which you have to confirm for finalizing the transfer. Please follow the instructions to complete the transfer (please also check your spam emails). If you are not eligible, our team will notify you via email. 

  • Step 4: You will receive a confirmation email from active.com once your transfer is complete

Withdrawal Program

Withdrawals - Rules and Regulations

Withdrawal requests must be received through withdrawal form during the following time frames in order to be eligible for a partial refund. 

For athletes who have registered within the first 90 days of initial registration opening or for a limited Flex option offer, the following deadlines apply: 
  • until 4 months prior to race day: 50% refund of the entry fee 
  • until 7 days prior to race day: 25% refund of the entry fee 
  • after 7 days to race day: no refund 
  1. Athletes who had deferred their registration from the year before are not eligible for any refund of the registration fee. 

  1. A refund is also excluded for athletes who paid the entry fee with a 2020 voucher

  1. The withdrawing athlete may attempt to establish that the damage sustained by the organizer from his/her withdrawal is lower than the agreed upon amount withheld by the organizer pursuant to these regulations.  

  1. Please note that all additional items purchased during registration will be refunded 100% up until the request deadline associated with the registration, unless the item has been sent/delivered to the athlete.   

  1. One-day licenses can only be refunded in case of a withdrawal within the refund deadline. If you purchased a national triathlon license by your federation the one-day license cannot be refunded.  

  1. Refunds will be transferred to the Credit Card you used during registration unless it is explicitly stated in the withdrawal request that you want a bank transfer. When transferring to a bank account the account holder and the athlete withdrawing must be the same person. If we refund to a bank account transfer, a transaction can take up to 8 weeks.  

Payment Option Plan: The partial refund (50% or 25%) only applies after the third payment has been done. If the athlete withdraws before the third payment is paid, the entry fee will not be refunded. Only additional items purchased during registration will be refunded 100% up until the request deadline associated with the registration, unless the item has been sent/delivered to the athlete.

Withdrawal Process

To cancel your registration, please use the following steps:   

  • Step 1: Fill out the withdrawal form.  

  • Step 2: After filling out the withdrawal form you will receive a confirmation email    from active.com confirming that we have received your request.  

  • Step 3: Once we have processed your request, you will receive an email from active.com with the confirmation of cancellation. If you are eligible for the partial refund, the funds will be returned to your bank account after cancellation.  

Deferral Program (Full Distance Races only)

Deferrals - Rules and Regulations

The deferral option is available to athletes that registered within 90 days of initial registration opening or for a limited Flex option offer.   

  • A deferral is only an option to the same race the next year. 

  • The deferral program is only for IRONMAN (FULL DISTANCE) races and not available for IRONMAN 70.3 events. 

  • Deferrals are only available for individual entries and not for relay teams, Comp Entries or Sponsor Entries. 

  • Athletes who elect to defer their entry forfeit any right for a partial refund, transfer or insurance refund. 

  • The deferral may only be used once. 

  • All deferral requests will be offered up until 45 days prior to the original race date. 

  • Athletes electing the payment plan may also utilize the deferral option once all three payments have been completed. 

Deferal Process

  • Fill out the deferral form.  

  • After filling out the form you will receive an automatic email from active.com confirming that we have received your deferral request. In case you have not received this email please fill out the form again (please also check your junk folder for this email).   

  • If you are eligible for a deferral, we will cancel your registration to this year’s event within 7 working days and refund any additional purchases.  

  • One week before General Entries open for the IRONMAN Event that you are deferring to, we will send you an email with a personalized registration link to sign up at no costs.  

  • You must redeem your entry within 30 days of receiving that email. Any unredeemed links after 30 days will become void.
